This Privacy Policy explains how RMF Sonics LLC (“RMF Sonics,” “we,” “us,” “our”) handles information when you use:

• Our website (rmfsonics.com)
• Your RMF Sonics account
• RMF Visualizer and related beta/licensing features
• Our beta Discord community tools (such as the /bug command)

2. Information we collect

Account information

When you register, we collect:

• Email address (required for login and account recovery)
• Password (stored by our auth provider as a secure hash — we do not store plain-text passwords)

Beta and licensing

If you request or receive beta access, we may store:

• Beta application status (pending, approved, denied)
• Optional message you submit with your beta request
• License key associated with your account
• Last license validation time when RMF Visualizer checks in online (about every 30 days while in use)

Purchases (when the store is open)

If you buy a product, we store purchase history and order email via Stripe checkout.

Payment card details are handled by Stripe — we do not store full card numbers on our servers.

Bug reports (Discord)

If you use our Discord /bug command in the beta server, we may receive your Discord username, display name, user ID, and the details you submit in the form. Bug reports are used to create GitHub issues. Do not include passwords, license keys, or other secrets in bug reports.

Technical data

When you use our site or APIs, standard logs may include IP address (for security and rate limiting), browser type, request timestamps, and error logs. Vercel and Supabase may process this data on our behalf.

Cookies

We use session cookies so you can stay signed in. These are necessary for authentication, not for advertising.

3. How we use information

We use your information to:

• Create and manage your account
• Send transactional email (account confirmation, password reset; beta notices when added)
• Process beta applications and issue or revoke license keys
• Validate licenses for RMF Visualizer
• Provide downloads to approved beta users
• Process payments when you purchase products
• Respond to support requests and investigate abuse
• Improve our site and software

We do not use your data for advertising profiles and we do not sell your personal information.

4. How we share information

We share information only as needed to operate the service:

• Supabase — authentication, database, private beta installer storage
• Vercel — website hosting
• Stripe — payment processing
• Discord — community and /bug interactions
• GitHub — bug report issue tracking
• Email delivery — account and service emails

We may disclose information if required by law or to protect our rights or users. We do not share personal information with advertisers or data brokers.

5. How long we keep information

We keep account and purchase records while your account is active and as needed for legal, tax, or security purposes. If you request deletion, we will delete or anonymize personal data where we can, except where we must retain records (for example completed purchases).

6. Your choices and rights

Depending on where you live, you may have rights to access, correct, delete, or restrict processing of your personal data. Email support@rmfsonics.com from the address on your account. We may need to verify your identity.

7. Security

We use industry-standard practices through our providers (encrypted connections, hashed passwords, access controls). No system is 100% secure — use a strong, unique password and keep your license key private.

8. Children

Our services are not directed to children under 13. We do not knowingly collect personal information from children under 13. Contact us if you believe a child has provided us data.

9. International users

Our services are operated from the United States (Colorado). If you access the site from elsewhere, your information may be processed in the U.S. and other countries where our providers operate.

10. Changes

We may update this Privacy Policy from time to time. We will post the new version on this page and update the “Last updated” date.
